Volunteer Coordinator Summary/Objective The Volunteer Coordinator provides support for Comfort Zone Camp programs: • By recruiting, retaining and engaging volunteers • By maintaining the volunteer data base • By practicing compassionate high touch, high quality, customer service to volunteers • By serving as the liaison to volunteers • By collaboratively partnering with other CZC employees to provide an exceptional experience for grieving children and their families Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Camp Volunteer Management • Manage volunteer communications before, during, and after camp • Act as primary contact for volunteers at camp • Responsible for fully staffing assigned camp programs with all volunteer roles • Perform information management, data entry, and statistical tracking for volunteers • Ensure background checks are performed and cleared prior to matching on all volunteers • Prepare volunteer matching materials and participate in the Matching Process • Identify and prepare the Big Buddy share volunteer • Coordinate on-site handouts, information, and reports related to volunteers • Manage volunteer paperwork • Prepare volunteer evaluations for program, and summary after each program session • Complete all post-camp tasks related to volunteers Volunteer Training Management • Contribute to the development of the volunteer training module • Schedule and implement volunteer training calendar • Prepare, lead, and complete follow-up for assigned volunteer training sessions Community Engagement & Outreach • Represent CZC to campers, volunteers, donors and community members including workshops and presentations • Manage Volunteer Council • Oversee Volunteer Outreach Strategy, to include recruitment, retention, and re-engagement of volunteers • Engage volunteer community through social events and communication Other Responsibilities • Assist with social media and marketing efforts as requested • Attend and assist with development/fundraising efforts and events as requested • Assist with camper recruitment • Oversee projects to support organizational capacity as requested Competencies 1. Supervisory Responsibility This position supervises volunteers in the office and at camp; this role does not have staff supervisory responsibilities. Work Environment This job operates in a professional, fast-paced and flexible office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee must be able to lift at least 25lbs. Camp Manager Summary/Objective The Camp Manager position leads, directs, and manages all camp operations with overall responsibilities for project workflow, team member oversight, and program execution. The Camp Manager provides support for Comfort Zone Camp programs: • By managing multiple projects • By demonstrating organizational and motivational skills • By executing high levels of communication with team members and leadership • By collaboratively partnering with other CZC employees to provide an exceptional experience for grieving children and their families. Project Management • Provide regular progress reports to Operations Director • Oversee Program Management, to include project workflow, team member oversight, and program execution • Work with Youth & Family Coordinator to recruit and accept campers for each session • Work with Volunteer Coordinator to recruit and accept volunteers for each session • Oversee program budget, purchases, and invoices working with Operations Director • Identify and assign office volunteers for program support as needed Camp Logistics • Serve as point of contact with facility staff - coordinate meals, program numbers, and logistics • Coordinate any necessary outside staff, programming, and assistance • Oversee all on-site documents and Camp Team binders • Purchase, ship, inventory, and manage storage of program supplies • Attend assigned programs – serve as Team Lead at camp • Lead camp activities as needed • Provide support and guidance for Matching Process (not required to take part in matching) • Coordinate travel logistics for staff and volunteers • Identify, train, and serve as point of contact for volunteer facilitation roles • Coordinate and serve as contact for media/journalism/videography for camp • Coordinate with Development Team to manage at-camp guests, camp corporate meal donations, etc. • Participate in evaluation and summary of each program • Oversee post-camp activities, to include evaluations, photo management, supplies, database input, number tracking, storage, and development follow-up Other Responsibilities • Oversee and lead volunteer training sessions as assigned • Oversee Camper Outreach Strategy, to include recruitment, retention, and engagement of campers • Attend and assist with development/fundraising efforts and events as requested • Represent CZC to campers, volunteers, donors and community members including workshops and presentations • Assist with camper and volunteer recruitment • Assist with Volunteer Councils/Regional Advisory Councils as needed • Oversee projects to support organizational capacity as requested Competencies 1.
