Regional Affiliate Administrative Assistant POSITION DESCRIPTION: The Regional Affiliate Assistant is a valued member of the Philanthropic Services Team and supports all aspects of the functions of the three regional affiliates by providing administrative and project management assistance to the regional staff, advisory boards, and volunteers. This position requires effective communication and strong attention to detail. This position operates out of the Affiliate Office in White Stone and will travel between five counties associated with the Regional Office (Gloucester, Lancaster, Middlesex, Northumberland and Mathews). This is a Full-Time, Non-Exempt position. DUTIES: • Assist affiliate staff with the work of the affiliate boards and committees, including assisting board members with the setting of meeting dates and locations, agendas, handouts, and board manuals and forms. Coordinate committee volunteers. Maintain all board minutes. • Support affiliate staff with all administrative duties, including but not limited to copying, ordering office supplies, mail merging and mailings, answering phones, opening mail, scheduling meetings, filing, etc. • Serve as the primary back-up to the Mathews Community Foundation’s Office Coordinator. • Assist with the maintenance and coordination of regional and Community Foundation databases and software (FIMS, Foundant, Donor Connect), including creating and updating profiles and grant applications, and updating constituent coding. • Provide technical support for donors and nonprofits, as needed. • Coordinate all aspects of events, such as securing a location, ensuring audio-visual needs, preparing handouts, greeting attendees, assisting with clean-up, etc. • In coordination with affiliate and communications staff, maintain affiliate websites and social media content. • In coordination with operations staff, oversee facility management, including cleaning and maintenance contractors and security needs. • Perform donor and prospect research, as requested. • Maintain petty cash box and reports, maintain credit card receipts for Finance. • Maintain and update affiliate office manual and procedures, as needed. • Assist with general administrative needs and other duties, as assigned. Regional Affiliate Officer POSITION DESCRIPTION: Working closely with both the Community Engagement and Philanthropic Services teams, the Regional Affiliate Officer manages the competitive grant and scholarship programs for the regional affiliate foundations, as well as any special grantmaking initiatives of those foundations. The Regional Affiliate Officer builds relationships with the local non-profit community and other funders serving the region. This position operates out of the Affiliate Office in White Stone and will travel between the five counties associated with the Regional Office (Goucester, Lancaster, Middlesex, Northumberland, and Mathews). This is a Full-Time, Exempt position. RESPONSIBILITIES • In conjunction with the Regional Affiliate Director and Affiliate Advisory Boards, and with the collaboration of the Philanthropic Services and Community Engagement teams, develop and implement a grant process for each affiliate foundation, resulting in a grants process that is aligned with the strategic initiatives of each affiliate. • Administer the community grants programs for the three affiliate grants committees in coordination with the Community Foundation program and due diligence staff by: o Establishing timelines, communications, and procedures. o Coordinating with the Operations and Finance teams to determine grant budgets and restrictions. o Working directly with non-profit and government agencies on all grant-related matters, including deadlines, technology issues, due diligence, and proposal and reporting requirements. o Receiving and acknowledging all on-line grant proposals, providing clarification on funding priorities and guidance on eligibility. o Educating and supporting committee members and grantees on the on-line grant system. o Preparing meeting materials for affiliate grant committee and Advisory Board meetings. o Processing committee recommendations in a timely and efficient manner. o Preparing award and decline letters to include grant restrictions or requirements. o In coordination with Finance staff, maintaining multi-year payment schedules and monitoring grant balances. o Maintaining grantee outcomes, sharing the results with Advisory Board members, donors and other stakeholders. • Provide community leadership and outreach within the local non-profit sector, including coordinating educational opportunities (currently through NN Connection) for non-profit staff, board members, and volunteers. • Proactively meet with non-profit and government agencies, attend local resource council meetings, and meetings with individual non-profits and gov’t agencies, as needed. • Stay informed on community needs and oversee any need assessments for the foundations. Keep Advisory Boards informed on community needs. • Provide staff support to committee-advised funds. • Coordinate the local Funders Forum members and meetings. • In coordination with Philanthropic Services staff, manage the affiliate scholarship program, including overseeing committee members, meeting logistics and follow-up reporting. • Provide donor support in the event of a period of absence of the Regional Director. • Other duties as assigned.
