Administrative Support Coordinator Homeward, the planning and coordinating agency for homeless services in the Richmond region is seeking a highly motivated and organized individual to serve as our Administrative Support Coordinator (ASC). This position is a full-time member of Homeward’s staff of ten. The position of Administrative Support Coordinator the day-to-day operations of the office ensuring efficient and effective operations addressing issues as they arise while ensuring the needs of our team and partners are met in a timely manner. This position reports to Director of Development while providing administrative support across all of Homeward including: • Operations and Finance • Fund Development • Data Research and Evaluation • Coordinated Entry and Service Coordination SUCCESS FACTORS: Comfortable in a fast-paced environment with the ability to multi-task, work independently, and meet deadlines • Identify as a self-starter - taking the initiative to problem-solve, troubleshoot and anticipate needs • Strong administrative and organizational skills • Strong attention to detail • Good listener; willing to ask questions and clarifying expectations • Commitment to providing outstanding customer service • Strong communication and interpersonal skills • Practice effective team behavior and develop working relationships ESSENTIAL FUNCTIONS: Successful applicants will be able to perform the following tasks with minimal supervision: Manage the office to ensure effective telephone, email and mail communications both internally and externally and maintain professional image •Assist with onboarding new staff and supporting current staff with technology and supply needs, completing enrollment documents, etc. • Process and reconcile receipts on expense reports • Respond to internal and external calls/emails direct to appropriate parties and follow up as needed • Schedule meetings (virtual or conference rooms) as needed • Maintain office equipment and vendor relationships including computers, copier, fax, telephones, etc. • Maintain and replenish inventory and office supplies • Assist with preparing documents for Board meetings, trainings, and grant applications and reports • Assist with development tasks including maintaining grants calendar, thank you letters and tax receipts • Assist with coordinating volunteers and vendors for special events • Keep office running efficiently and effectively – organize supplies, filing and organizing records, invoices and other important documentation etc. • Assist the Executive Director, Board, and staff with projects as requested Homeward is an equal opportunity employer and we are committed to increasing and enhancing the diversity of our professional team.
