Position Overview The Operations Coordinator manages the general operations of the Sacred Heart Center and ensures that logistical needs are met. Position will coordinate transportation, large event logistics, facilities, and staff onboarding and development. The Operations Coordinator is an essential part of the smooth daily operations of the Sacred Heart Center. Key Responsibilities The Operations Coordinator will have the following primary responsibilities: Manage the general operations of the Sacred Heart Center Works closely with the SHC team to manage successful daily operational activities Manages maintenance of office, fleet, and other equipment Coordinates transportation logistics for programs, with supervision of bus drivers Works with the SHC team to coordinate logistics of larger organizational events Works with Facilities Manager to ensure facilities requests are addressed in a timely manner Ensures organizational security and safety planning and training occurs on an ongoing basis, implements strategies Monitors the safe and appropriate use of SHC equipment and facilities Coordinates activities with other administrative staff to ensure delivery of supplies and equipment in a time efficient manner Participates in program evaluation as required, by completing all required reports as designated by funding sources. Position Overview The Administrative Program Assistant is an initial welcoming contact with visitors to the Sacred Heart Center and will address or refer calls and inquires to the appropriate staff person. In addition, the Administrative Program Assistant provides administrative support to the programs of Sacred Heart Center and to the Executive Director. Children’s Program Lead Facilitator About Sacred Heart Center SHC connects Latino families with tools to thrive and flourish. Position Overview The Children’s Program Lead Facilitator is to provide appropriate developmental care and instruction for child and youth ranging from 18 months to 4 years old in one or more of the children’s programs at the Sacred Heart Center. Key Responsibilities The Children’s Program Lead Facilitator will have the following primary responsibilities: Plan and implement activities for children Provides care and supervision, oversight, and accountability for program participants. Develops schedules and activity plans, ensures that program plans and activities incorporate the observed needs of individual children and youth. Demonstrates, instructs, leads and facilitates planned and spontaneous program activities. Uses prepared curriculum and program materials. Meet the physical, social, emotional and intellectual needs of each child during the program. Helps arrange for and/or serve appropriate snacks or meals where applicable. Incorporates special instructions provided by parents such as special dietary needs, physical needs, or other information that may affect the child or youth’s experience in the program. Maintains control of and accounts for whereabouts and safety of children and youth ranging in age from 18 months to 4 years old. Ensures children and youth (as applicable) depart with authorized person according to written parental instructions. Monitors the safe and appropriate use of equipment and facilities by the children and youth. Helps establish a program environment that promotes positive interactions with other children, youth, and adults. Interacts with children and youth using approved child guidance and youth development techniques as provided by supervisors. Works closely with program team of staff and volunteers to ensure successful execution of the overall program. Assist with Program Support/Administration/Evaluation Provides parents with daily verbal or written feedback about their child/youth or program activities. Responsible for daily tracking of children’s progress in four areas of development, which are linked to the program curriculum Participates in program evaluation as required, by completing all required reports as designated by funding sources. Volunteer Engagement Coordinator About Sacred Heart Center SHC connects Latino families with tools to thrive and flourish. Position Overview The Volunteer Engagement Coordinator is responsible for creating an environment for impactful and positive volunteer engagement at the Sacred Heart Center, thus providing meaningful opportunities for diverse people to further the work of the Center. Key Responsibilities The Volunteer Engagement Coordinator will have the following primary responsibilities: Recruit, Place, and Support Volunteers and Engage Community Partners Work with other staff to develop volunteer opportunities which meet Center needs Recruit volunteers using VolunteerMatch and HandsOnRVA, as well as through other community networking opportunities; manage numerous monthly requests from people interested in volunteering; ensure continuous engagement with Latino community members for volunteer recruitment Interview potential volunteers and give tours; train and on board volunteers to Center mission, values, and needs; develop continuing education opportunities and provide ongoing support for volunteers Maintain accurate volunteer profiles and service hours in Bloomerang database Maintain volunteer orientation process and manual Ensure volunteer background screenings and appropriate trainings required have been obtained to ensure compliance with Center and Catholic Diocese policies Engage with partners and community by attending meetings, speaking to groups, and attending outreach and promotional events, and maintaining partnerships with area colleges and universities Sustain volunteers Survey volunteers to make sure their experience is satisfactory Create a strategy to engage volunteers at all levels of our organization Help staff work with volunteers, and ensure that supervisory roles are clear for each volunteer Execute a robust volunteer engagement and appreciation strategy Prepare reports with volunteer service hours Ensure that all programs and volunteers are implemented and operating according to relevant policies and procedures Complete all required reports as designated by funding sources Other tasks Be the point person for service project/done-in-a-day volunteers, including scheduling, planning, and logistics Support additional administrative needs of office on an as-needed basis Track and organize ongoing Center building needs in order to create tasks for volunteer groups and to improve the Center environment Manage the donations room, the community garden, and their volunteers Work as part of a team with other SHC staff to accomplish overall organizational goals Keys to Success: Commitment to the mission and values of Sacred Heart Center 100% follow-through and good communication at all levels of the organization Customer service orientation toward volunteers and community partners, and ability to connect with people from different cultures and backgrounds Attention to detail Positive attitude, solution-focused, and flexibility Volunteer Coordination Aug 1, 2019
