Family Services Case Aide Assists professional staff by providing auxiliary and on-call services for pediatric patients and their guardians such as assistance with case management, transportation, personal errands, language translation when necessary, and ER visits when appropriate. Primary WPP staff responsible for initial orienting of new arrivals. Will also serve as primary WPP staff responsible for hospital discharges and last minute/unplanned patient needs. This is a full time position which requires flexibility within a Sunday – Thursday work week. ESSENTIAL FUNCTIONS 1. Meet immediate patient/guardian needs as they arise: a. Primary contact/coordinator responsible for hospital discharges. b. Cover airport pick-ups when volunteer not available. c. Relieve program staff/interns who are covering medical appointments which run past time they must leave. d. Support guardians during long surgeries going into evening hours or who are staying bedside with children admitted to hospital post-operatively. e. Pick up prescription medications from pharmacies and deliver to family as well as ensure that they understand the medication instructions. f. Be available to receive and act on important guardian concerns as well as last minute patient needs that come from medical volunteers or hospital staff. 2. Foster positive housing environment: a. Provide assistance to families for daily living activities including but not limited to: accessing/providing healthful diet, troubleshooting appliance issues, ensuring families are maintaining clean living spaces as agreed upon between WPP and housing facility, and navigating around Richmond. b. Facilitate and appropriately prioritize grocery shopping trips and other personal errands as needed. c. Work remotely from housing facilities as often as possible. 3. Foster positive family environment: a. Responsible for conducting welcome tours and orientation for family’s arriving on weekends. b. Provide activities and group interactions to build positive relationships between families and add structure to down time (games, crafts, educational activities, group activities). c. Provide assistance to Patient Care Coordinator with monthly house meetings. Will be responsible for notifying families in town of these meetings in advance as well as housing facility staff when appropriate. 4. Manage on-call needs as they arise: a. Must be able to keep on-call phone 3 out of 4 weeks a month which includes weekends and may include holidays; any changes to be arranged and approved by the Director of Volunteers. Holidays will be shared amongst the entire team to be arranged and approved by Program Director. 5. Maintain daily, timely, and professional oral and written communication with U.S. Referrals team for patient updates and continuity in case management. Remain flexible to respond to ever-changing priorities. 6. Participates with program team members in facilitating activities/events for patients and guardians related to donor cultivation and individual patient sponsor support. 7. Serves as team leader for the organization’s international surgical and diagnostic trips as requested, 1-2 times per year. 8. Helps to provide coverage for Director of Volunteers during team member’s sick leave, vacation time, and/or program travel responsibilities. NONESSENTIAL FUNCTIONS • Participates with all staff in organization-wide special events. • Participates in volunteer speaking engagements in Richmond area to promote organization activities and public awareness of organization’s mission. • Assist with Volunteer Orientations as needed.
