CancerLINC is a non-profit located in Richmond, Virginia that helps cancer patients and their families with legal and financial issues like life planning, bankruptcy, foreclosures, debt collections, employment discrimination, Social Security denials and much more. CancerLINC has over 180 volunteer attorneys and financial planners who offer their services pro bono to CancerLINC’s clients. CancerLINC assists approximately 600 people each year with 1,000 issues.

The Administrative Assistant (AA) will report to the Executive Director and will assist throughout the office when necessary. The AA will perform administrative duties related to fundraising, marketing and public relations and will gain firsthand experience in strategic planning to increase the capacity of a growing non-profit organization. Additionally the AA will be involved with stewardship activities related to non-profit fundraising and relationship management, including working with a team to create and implement the fundraising, development and communications strategy for CancerLINC, as well as donor and grant research and tracking.
The AA will also assist the Special Events Coordinator with CancerLINC’s special events including “It’s in the Bag,” the “Annual Spring Awards Luncheon”, “Here’s Laughing at You, Cancer,” and any other events, as well as assist in recruiting volunteers for CancerLINC’s events and activities.
Primary Duties and Responsibilities
Development
• In collaboration with the Executive Director, the AA will establish and implement the Development Plan that incorporates a range of strategies for all annual appeals, grants, corporate and individual solicitations, social media and special events.
• Assist with the production and implementation of fundraising campaigns and other fundraising communications and strategies.
• Record donations on an ongoing basis in the donor database, generate acknowledgments and thank you letters. Design and run reports, and maintain the database.
• Help promote the organization by coordinating the design, printing and distribution of marketing and communication materials for development efforts to include a quarterly newsletter and annual report.
• Assist in grant research and tracking.
• Help secure financial support from individuals, foundations and corporations.
• Support the Special Event Coordinator in all events including event preparation, and attend events to assist in set up, implementation, and clean up. Propose new ideas to the Special Events Coordinator to improve the event planning and implementation process. Please note: some events may be on evenings and weekends.

Education
• Work with the Client Services Department to inform and educate organizations about CancerLINC and its services.

Other Duties
• Coordinate affiliate social media outputs including event outreach and visibility strategy, and responsible to update the CancerLINC website.
• Perform administrative duties as needed including filing, copying, sorting, mailing, etc., as well as ordering supplies and managing the CancerLINC office.
• Manage the office by ordering supplies, making sure equipment is working, calls IT services when needed.
• Participate in the recruitment of interns, and manage interns and office volunteers by assigning them work.
• Assist Client Services Attorney and Executive Director with agency wide activities and other duties as assigned.
• Attend networking events to increase professional network, refine relationship management skills, and enhance CancerLINC’s outreach and capacity.
• Will coordinate and manage weekly newsletters and create annual report.
Skills and Competencies
• Excellent communication skills, including writing, proof reading skills, and speaking.
• Strong interpersonal skills to work with a variety of individuals including volunteers, interns, board and staff.
• High degree of professionalism.
• Attention to detail, project management skills, and being highly organized is a must.
• Ability to manage multiple projects and work assignments with little supervision.
• Must be self-motivated with the ability to work independently.
• Knowledge of marketing strategies and creativity to design appropriate marketing approaches for various communities.
• Fantastic customer service ethic and high expectations for quality.
• Bachelor’s degree preferred; significant work experience can substitute for the degree. At least 3 years’ experience with office administrative management.
• Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.
• Knowledge of social media tools: Facebook, Twitter, knowledge of website management.
• Knowledge of database management systems.
