Position Overview

The Administrative Program Assistant is an initial welcoming contact with visitors to the Sacred Heart Center and will address or refer calls and inquires to the appropriate staff person. In addition, the Administrative Program Assistant provides administrative support to the programs of Sacred Heart Center and to the Executive Director.

Key Responsibilities

The Administrative Program Assistant will have the following primary responsibilities:

Be initial contact to visitors or phone calls to Sacred Heart Center

Respond to phone calls and voice mails and refer to appropriate staff or provide pertinent information
Assist with outreach phone calls to Sacred Heart Center program participants
Greet and welcome visitors, address their inquiries, and direct or refer to appropriate staff
Organizes and maintains a professional appearance in the reception area of the Sacred Heart Center offices
Provide administrative support to Sacred Heart Center programs

Maintain office and program supplies by checking inventory and ordering items
Maintain Center photo and media archives
Gather community and Center events to maintain bulletin boards inside Center facilities
Act as informational liaison to Sacred Heart Church about activities of Church and Center
Work with Center staff to maintain organized supply closets and shared areas
Work with Center staff to maintain files and archives
Order printing and marketing materials
Update voice mail systems and informational messages
Maintain community resource lists
Assist with database entry for programs and donor management
Assumes responsibility for maintenance and inventory of office equipment, including computers, copy machines, phones, and TV monitor
Work as part of a team with other SHC staff to accomplish overall organizational goals
Provide Administrative Support to Executive Director

Provide administrative support for operation of the organization in the areas of accounts payable, partnerships, and events
Assist with filing and other administrative duties
Assist with correspondence, scheduling, and other clerical duties
Assist in the preparation of regularly scheduled reports

Required Qualifications:
Experience and Attributes: Ideal candidates for this position will share our commitment to our mission and to our values of compassion, inclusion, equity, and collaboration, and have related experience, including: High school graduate or equivalent. Associate’s degree preferred. Ability to connect with others and forge strong relationships Bilingual in Spanish and English, bi cultural Highly organized, proficient in Microsoft Office programs Ability to perform several tasks concurrently, time management and organizational skills Exemplary record of strong communication skills and customer service focus, excellent follow-up, and an ability to work with diverse groups in a courteous and professional manner Ability to work in a fast-paced environment, option for some flexible hours Personal qualities of integrity, credibility, and a commitment to and passion for SHC’s mission
