MAJOR DUTIES AND RESPONSIBILITIES
• Provide administrative support in tracking the progress of future priests and deacons as they move through the various stages of the ordination process.
• Compile and build postulancy and candidacy applications and share those with the responsible committees and staff.
• In coordination with the Minister for Communications, assist with the collection of content for multiple communications and social media platform(s), maintain webpages, post parish search documents and other open positions.
• Prepare deposits and check requests.
• Prepare and submit expense reports and credit card statements reconciliations.
• Maintain appropriate budget line items.
• Maintain calendar and schedule appointments as needed for multiple members of staff leadership working in conjunction with the Executive Assistant to the Bishops.
• Working in conjunction with the Executive Assistant to the Bishop, assist in preparing Bishop(s) for meetings by providing appropriate research and preparatory materials, make travel arrangements.
• Coordinate Letters of Agreement and oversee the process for clergy welcoming and connections.
• Coordinate the registration for discernment retreats, postulancy formation retreats, the St. Phoebe School for Deacons, and other Vocation & Transition efforts.
• Post on Office for Transition Ministry Portfolio and all positions on otmportfolio.org and the diocese.net.
• Assist with Fresh Start (ex. send reminder emails, provide support for speakers).
• Provide support for upcoming meetings with vestries and search committees.
• Coordinate mutual ministry review processes.
• Plan ordination events including preparing certificates and Bibles.
• Prepare official paperwork, maintain correspondence, input data entry.
• Perform other duties as assigned such as responding to mail, emails and phone calls, assisting with Annual Convention, etc.

Required Qualifications:
• 2-4 years of experience in administrative support, project management, or a related field • Education: 4-year college degree preferred • Clear written and verbal communication • Highly organized, detail oriented, self-motivated, and willing to learn • Ability to keep confidences • Ability to show care and concern to all those with whom we work, responding with both clarity and compassion • Experience: Digital project management, communications, and social media • Other: Familiarity with the general structure of the Episcopal Church KEY COMPETENCIES • Word • Outlook • Excel • Zoom/Teams • Clear communication skills • Willingness to learn other tools (e.g., Trello/Salesforce, social media)
